Step-by-step guide

Whitelabel evidence PDFs: your letterhead on every report

ProofSnap's whitelabel branding puts your firm's logo, name, address, contact email and color at the top of the evidence PDF of every web and video capture. In 2026 it is included with the Enterprise and Company plans and with any eIDAS SnapPack or Video SnapPack, and you set it up once in the side panel in seven steps.

What whitelabel branding means for an evidence report

Whitelabel branding means an evidence report carries the name of the firm that delivers it instead of the name of the software that produced it. In ProofSnap, your letterhead replaces the centered ProofSnap header at the top of evidence.pdf: your logo on the left, firm name, address and contact email on the right, and a line in your color underneath. Everything that makes the package verifiable stays the same: the SHA-256 hash of every file, the RSA-signed manifest and the footer line naming the tool, its version and the page number.

The side panel accepts a logo up to 2 MB and scales a large one down to fit 1200 × 600 pixels. The firm name can be 60 characters long, the address and the email 80 each. Your client, the court or opposing counsel sees your firm on the report, and anyone can still check the package with the free Trust Verifier.

Which plans include whitelabel branding

Which documents carry your branding

Included

  • the evidence.pdf of every web capture and video capture
  • the evidence.pdf of every tab in a Session recording
  • provenance_certificate.pdf of a capture
  • your firm name, pre-filled as the employer or organization in the FRE 902 declaration template, when you add that template to a capture (text only, no logo)

Not included

  • certificates from the File Certifier
  • the JSON files and verification scripts in the package
  • the footer line Captured with ProofSnap, which stays on every page

Before you start

  • ProofSnap is installed and you are signed in on a plan from the table above.
  • Your logo as an image file up to 2 MB, ideally with a transparent background.
  • Your firm name, address and, if you want, a contact email.

Step 1

Find Whitelabel Branding in the side panel

Open the ProofSnap side panel. When your plan includes whitelabel branding, a Whitelabel Branding card sits right under User Account Info. It starts collapsed.

  1. 1Card header. Click the title to open the card.
  2. 2Use custom branding. The switch in the header is visible even when the card is collapsed, so you can turn branding on and off without opening it.

Step 2

Switch on Use custom branding

Turn on the switch and open the card. The switch takes effect immediately; you do not need to click Save. While it is off, the fields stay grayed out and cannot be edited.

  1. 1Use custom branding. On: your next evidence PDFs use your letterhead. Off: they use the default ProofSnap header.
  2. 2What it does. Customizes the evidence PDFs with your firm's logo and details.
  3. 3Logo, color and details. The fields you fill in next, then a live preview of the PDF header and the Save button.
Switched on, nothing filled in yet: the preview keeps the default ProofSnap header until you add a logo or details.

Step 3

Click Upload logo and pick any image up to 2 MB: PNG, JPEG, WebP or SVG. ProofSnap prepares it in your browser. It trims empty margins (transparent or a plain background color), keeps the proportions, scales a large image down to fit within 1200 × 600 pixels and converts it to PNG.

  1. 1Original and Optimized for PDF. Compare your file with the version that will go into the PDFs. Nothing is uploaded yet.
  2. 2Confirm & save. Uploads the optimized logo to your ProofSnap account, replacing any previous one, and shows it in the card. It goes into your PDFs once you click Save in step 5. Try another image discards it.
  3. 3Use suggested color. ProofSnap reads the main color of your logo and offers it as the primary color. One click applies it.

Step 4

Set the color and your firm details

Fill in what should appear in the top-right corner of the PDF header. The counters show how much room each line has.

  1. 1Primary color. Pick a color or type its hex code. It colors the line under the letterhead, the bold headings and labels, the summary box border, the links and the footer line in the PDF. Body text always stays black for legibility.
  2. 2Firm name. Bold first line, up to 60 characters.
  3. 3Address. Second line, up to 80 characters.
  4. 4Contact email (optional). Smaller third line, up to 80 characters.

Step 5

Check the preview and save

The preview shows how the PDF header will be laid out: logo on the left, your details on the right and a line in your color underneath.

  1. 1Preview (PDF header). Updates as you type. The footer line Captured with ProofSnap stays on every PDF and cannot be changed.
  2. 2Save. Saves the logo, the color and the text fields together. The message Branding saved. confirms it. Click Save after every change, including a new or removed logo.

Step 6

Capture as usual

Nothing else to do. Every capture from now on carries your letterhead. The branding is read at the moment the PDF is created, so a change applies to the next capture, not to packages you have already downloaded.

  1. 1Your letterhead. Logo on the left, firm name, address and email on the right.
  2. 2Your color. The line under the letterhead, the summary box and the bold headings.
  3. 3Footer. Captured with ProofSnap, the version and the page number stay on every page.

Step 7 (optional)

Switch branding off for a single case

Need a neutral report for one matter? Turn off Use custom branding. Your logo and details stay saved; the fields are just grayed out and the preview switches to the default ProofSnap header. Turn it on again and everything is restored.

  1. 1Use custom branding off. Takes effect immediately, starting with the next capture. If you add the court declaration template, it still pre-fills your firm name.
  2. 2Preview. Shows the default ProofSnap header and the side panel's own note: Evidence PDFs use the default ProofSnap header. Turn on 'Use custom branding' to customize.
Switched off: your details stay saved and PDFs use the default header.
