Why Merchants Lose Chargebacks
Most representments fail, and the evidence merchants file is a large part of why. Here is what goes wrong.
A dispute analyst reading your file has no way to check a pasted image. They cannot see when it was made, whether the page still looks like that, or whether anything in it was edited between the order and the filing. So the image carries whatever weight your word carries, which in a process run between two banks is not much. If you sell into the European Union, there is a stronger form available: a qualified electronic timestamp, which the law itself addresses. Article 41(2) of the eIDAS Regulation states: "A qualified electronic time stamp shall enjoy the presumption of the accuracy of the date and the time it indicates and the integrity of the data to which the date and time are bound." That presumption covers the date and the integrity of what is bound to it. It does not decide the dispute, and no card network is bound by it, but it is the difference between a file that makes a claim and a file that evidences one.

What Evidence Actually Wins a Representment
Merchants win 43.8% of the chargebacks they contest, but achieve a net recovery rate of only 10.7% once second-cycle disputes and undetected friendly fraud are counted (Chargebacks911, 2026 Chargeback Field Report). The gap between those two numbers is where most of the money goes, and it is largely a question of what the file contains. A dispute analyst reading your representment is not weighing your intentions; they are checking whether the documents answer the allegation actually made under that reason code. A representment that answers the cardholder's claim directly carries more weight than a bundle of everything you have. A delivery record beats a description of your delivery process, and a dated record of the page the customer saw beats an image of the page as it looks today. Frequently Asked Questions
Yes, in the sense that matters for a dispute file. A ProofSnap package carries SHA-256 hashes of every file, an RSA-4096 signature over the manifest, a Bitcoin blockchain timestamp and a documented chain of custody. The card schemes do not set an integrity standard for the documents you upload, so nothing here is a compliance checkbox. What it does is let the reviewer see that your product page or refund policy is the one that was live on the day of the order, rather than a page you could have changed afterwards.
No, and it is worth being exact about why. CE 3.0 is a liability shift for fraud-coded disputes and it qualifies on transaction history: two prior undisputed transactions on the same credentials, processed between 120 and 365 days before the disputed one, with at least two matching data elements of which one must be the IP address or the device ID. Those are Visa's Compelling Evidence 3.0 qualification criteria, not ours. That comes out of your order system, not out of a screenshot. ProofSnap is for the part of your dispute work the CE 3.0 route does not reach: the non-fraud reason codes where the argument is what your product page, terms, refund policy and checkout flow actually said: capture those, plus order confirmation and shipping tracking pages, and the metadata records the URL, the time and whether they were served over HTTPS.
A regular screenshot is just an image file with no proof of authenticity. It can be edited in Photoshop in seconds, and the file timestamp can be changed by modifying system settings. You can, but proactive capture is far more effective. If you capture your product pages, terms and checkout flow before a dispute is filed, the blockchain timestamp proves the capture existed no later than the block that confirms it, which is what dates the page against the order. Blockchain timestamps stay independently verifiable for as long as the Bitcoin blockchain exists. Unlike server-based timestamps that depend on a company staying in business, ProofSnap uses OpenTimestamps to anchor evidence hashes directly to the Bitcoin blockchain. Anyone can verify the timestamp independently using open-source tools, with no need to trust ProofSnap or any third party. The timestamp proves the evidence existed no later than the block that confirms it, and a re-check of the hash shows the copy in front of you is byte-identical to the one that was stamped.
Your acquirer normally gives you 30 days from the chargeback notice to file a representment. Thirty days is the standard Visa dispute response window, and some acquirers set a shorter internal deadline so they can meet the network's. That window is the argument for capturing before you need to, not after: a page captured when the order was placed is already in your files when the notice lands, while a page you go looking for on day 25 may have been edited, redesigned or taken down, and a capture made then carries a timestamp that says so. Build the habit around the order date rather than the dispute date, and the deadline stops being the constraint.
The case can move to pre-arbitration and then to arbitration, where the network decides and the losing side pays a fee that often exceeds the disputed amount. That is the stage where the quality of the file starts to matter more than its volume, because somebody outside both companies is reading it cold. A dated, hashed capture of the page the customer actually saw is the kind of exhibit that survives a reader with no context, which a screenshot pasted into a form is not. Whether to escalate is a commercial decision about the amount at stake; what a capture changes is whether escalating is worth it.
